Description

Background
Elizabeth City State University (ECSU), through its Auxiliary & Business Services Division, is soliciting proposals from qualified contractors to provide comprehensive repair and preventive maintenance services for commercial kitchen equipment located across various campus dining and event facilities. This engagement aims to ensure the reliable, safe, and efficient operation of critical food service equipment supporting both high-frequency daily usage and special events.

Facilities supported under this agreement include ECSU Cafeteria, Retail Dining (Tender Love & Chicken, Greens to Go, Viking Grill), Provisions on Demand (Viking Express), K.E. White Graduate Center, Viking Bites Food Truck, and Caribou Coffee.

Work Details
The contractor will provide comprehensive repair and preventive maintenance services for commercial kitchen equipment including but not limited to: refrigerators, freezers, coolers (including walk-ins), ice machines, gas and electric ovens, stoves, fryers, steam tables, prep tables, commercial mixers, ventilation and exhaust systems.

Specific tasks include:
1. Preventive Maintenance Services: Scheduled inspections based on manufacturer specifications; cleaning and lubricating moving parts; tightening fittings; identifying worn components; submitting service reports.
2. Repair Services: Diagnostic assessments; repair or replacement of components using OEM parts; restoration of equipment to original specifications.
3. Emergency Response Services: Responding to emergency calls within 2 hours; providing 24/7 coverage for critical failures.
4. Documentation and Reporting: Maintaining accurate documentation for each visit including work logs, materials used, summary of services performed.

Period of Performance
The initial contract term is one (1) year beginning on the date of final contract execution with an option for two (2) additional one-year renewals at the discretion of the State.

Place of Performance
Services will be performed at various locations across Elizabeth City State University including the ECSU Cafeteria and other dining facilities.

Bidder Requirements
Vendors must have a minimum of three (3) years of verifiable experience in commercial kitchen equipment maintenance and repair. They must possess valid federal, state, and local licenses required for work on electrical, gas, and refrigeration systems. Vendors are required to comply with OSHA regulations and must not subcontract without written approval.
