RFP - Enterprise Resource Planning (ERP) Software and Implementation Services

Background
The City of Bozeman is seeking proposals for Enterprise Resource Planning (ERP) Software and Implementation Services to enhance its operational efficiency. The City, which serves over 57,000 residents, aims to replace its current ERP system (NaviLine 9.X) to improve business processes and system integration across various departments including finance, human resources, and utilities.

This initiative is part of a strategic decision to assess modern ERP solutions that can streamline operations and reduce manual data entry errors.

Work Details
The selected vendor will provide an integrated ERP solution that includes the following services:
1. Implementation of ERP software that supports finance and human capital management functionalities.
2. Coordination with third-party software providers as needed.
3. Development of a Statement of Work (SOW) that outlines project milestones, roles, responsibilities, payment milestones, functional requirements, and acceptance criteria.
4. Support for grant/project tracking, budgeting solutions, procurement functions including requisitions and purchase orders, asset management from acquisition to disposal, and financial reporting capabilities.
5. Integration with existing systems such as Cityworks for asset management and ensuring data accuracy across platforms.
6. Training and support for City staff during the transition to the new ERP system.

Period of Performance
The contract is expected to commence upon execution in late 2026 with an anticipated duration of five years for software proposals.

Place of Performance
The services will be performed in Bozeman, Montana.

Bidder Requirements
Respondents must affirm non-discrimination policies in hiring practices and comply with the Equal Pay Act. Additionally, bidders are encouraged to submit joint proposals if they cannot meet all requirements independently.
