Event Management Software

Background
The State of Montana, through its State Procurement Services Division (SPSD), is issuing a Request for Proposal (RFP) to establish a Qualified Vendors List for event management software.
The goal of this contract is to assist state agencies in managing events effectively, leveraging technology to streamline processes and improve efficiency.

Work Details
The selected vendors will provide event management software that may include functionalities such as registration management, attendee tracking, scheduling, and reporting tools.
The RFP emphasizes the need for software that can cater to various state agency requirements and facilitate seamless event execution.
Specific services include:
1) Software as a Service (SaaS) solutions;
2) Cloud-based computing services;
3) Comprehensive support and maintenance for the software provided.

Period of Performance
The contract period will commence upon award and is expected to continue until the completion of the project or as specified in the final agreement.
Responses must be submitted by May 14, 2025.

Place of Performance
The services will be performed within the State of Montana, with potential for remote access capabilities depending on the software solution provided.

Bidder Requirements
Bidders must comply with several prerequisites including:
1) Completion of a Business Information document;
2) Submission of a Scope of Services response;
3) Acknowledgment of compliance with Executive Order No. 12-2016 regarding Equal Pay for Montana Women;
4) Registration with SAM.GOV to obtain a Unique Entity ID (UEI);
5) Certification against discrimination practices related to firearms entities/trade associations.
Additionally, bidders must ensure they meet all mandatory requirements outlined in the RFP.
