Mandatory Vendor Site Visit for RFP at School District Central Office

Background
The Tate County School District is seeking proposals for a Network Upgrade Project as part of the E-RATE Funding Year 26-27. The district aims to enhance its instructional areas by upgrading network access points in classrooms and labs. This project is essential for improving the district's technology infrastructure and ensuring efficient network access for educational purposes.

Work Details
The selected vendor will be responsible for the installation and configuration of network equipment, specifically HPE Aruba AP-735 or equivalent network access points. The vendor must have a Service Provider Identification Number (SPIN) and provide a signed, sealed Statement of Qualifications (SOQ) along with a cost proposal. Key tasks include:

1. Installation of network access points using existing brackets unless replacements are noted.
2. Installation of new copper drops as needed to support new access point installations, utilizing existing wiring for standard one-to-one replacements.
3. Labeling each access point with its MAC address on the outside cover.
4. Providing a spreadsheet containing MAC addresses and corresponding room names to the technology department.
5. Labeling each new copper drop in the Main Distribution Frame (MDF) or Intermediate Distribution Frame (IDF) with the associated room number.
6. New runs to access points should be patched in using blue patch cables.

Period of Performance
The contract will commence upon school board approval and will begin on July 1, 2026, with completion scheduled by June 30, 2027.

Place of Performance
The work will be performed at various school campuses within the Tate County School District located in Coldwater, MS.

Bidder Requirements
Bidders must possess a valid SPIN and include it in their proposal. They must also have at least one full-time Aruba Certified Professional or equivalent on staff. Proposals must include references from at least two similar installations, and bidders are required to provide all services without subcontractors.
