Background
The State of Missouri, through the Office of Administration, Division of Purchasing, is issuing this Request for Proposal (RFP) for Video Equipment and Rental Services on behalf of the Department of Agriculture for the annual Missouri State Fair.
The Missouri State Fair is a significant agricultural event that showcases livestock, crops, and agribusiness exhibits. Work Details
The contractor shall provide video equipment and rental services including:
- Two outdoor-rated LED video walls (minimum size 10' x 16', Full HD with a pixel pitch of 6.9 mm or smaller, minimum brightness of 4,500 NITS).
- Two controllers for each LED wall.
- All necessary power and data cabling.
- An adjustable-height truss system capable of withstanding winds up to 25 mph at full height (up to 35').
- A computer for content arrangement and operation.
- An 800HD camera switcher and three cameras (one at front of house and two in front of stage).
- Personnel to set up, operate, and manage the video equipment during the Fair.
The contractor must ensure all equipment is in good working condition and replace any sub-standard equipment within 24 hours upon notification from the state agency.
Period of Performance
The contract period will commence on July 15, 2026, and will last for one year with potential renewal options for four additional one-year periods.
Place of Performance
The services will be performed at the Missouri State Fairgrounds located at 2503 W. 16th Street, Sedalia, MO 65301.
