2025-13 Audio Video Equipment Upgrade

Background
The Cole County Commission in Missouri is seeking proposals for an upgrade to the audio and video system located in the Commission Chambers. The goal of this contract is to enhance the current capabilities for recording and live streaming meetings, ensuring ease of use and minimal training requirements for users. The County aims to transition from an analog to a digital system that meets modern standards.

Work Details
The contractor will be responsible for delivering, installing, and configuring a new audio and video system that includes:

- Centralized audio-video controls that are user-friendly.
- Installation of omni-directional ceiling-mounted microphones adjustable by zones.
- Three gooseneck or similar microphones for Commissioners with on/off functionality.
- Two digital network cameras with HD 1080p resolution capable of switching feeds based on who is speaking.
- A cloud-based program for sound level control accessible via multiple devices (laptop, tablet, mobile phone).
- Integration with existing systems, including Open Broadcaster Software (OBS) for streaming to YouTube.
- Complete installation of all wiring and components, testing, calibration, and training for end users.
- Removal and disposal of unneeded existing equipment and wires.
- Options for maintenance after installation. The system must also be ADA compliant and include a compact, presentable rack or cabinet for components.

Period of Performance
The contract will commence upon award and is expected to be completed within a timeline agreed upon during the proposal process. Specific milestones will be outlined in the project implementation plan.

The work will be performed at the Cole County Commission Chambers located at 311 East High Street Room 200, Jefferson City, Missouri 65101.
