Background
Minnesota State is seeking proposals from qualified vendors to provide conference and hotel accommodations for the ASA and ITS teams. The goal of this contract is to establish a location for the Statewide ASA/ITS Conference for the next two years, accommodating approximately 600 attendees. The selected vendor will enter into a two-year fixed agreement to host annual conferences that meet the logistical, technological, and accessibility needs of Minnesota State institutions. The facility must be located in Northern Minnesota.
Work Details
The selected vendor will be responsible for providing:
- Lodging for up to 450 Minnesota State attendees and 150 vendors, including three nights of food and lodging.
- Meal space and service for up to 600 individuals.
- Reception space for attendee check-in.
- Conference space accommodating up to 75 vendor tables (150 vendors).
- A minimum of 10 breakout rooms, each accommodating at least 60 guests, all within a 10-minute walking distance from guest rooms or with shuttle service provided as an alternative.
- An athletic/recreation area available for attendee use.
- Technology requirements including audio and video technology in breakout rooms, wireless network coverage throughout all meeting areas, minimum 100 MB Wi-Fi in large conference rooms, no-cost Wi-Fi in guest rooms with minimum speeds of 10 MB, and on-site support for meeting technology.
- ADA accessibility features including sufficient handicapped parking near facility entrances and free onsite parking for all attendees.
Period of Performance
The contract will be effective from January 1, 2026, or on the date the last recognized signature is obtained, whichever occurs later. It will last for two years with annual conferences scheduled on either May 19-21 or May 26-29 in 2026 and May 18-20 or May 25-27 in 2027.
Place of Performance
The facility must be located in Northern Minnesota.

The facility must accept purchase orders from multiple Minnesota State institutions. Pricing must remain valid for the full two-year contract term.
