Fully Cloud-Based Phone System

Background
Montcalm Area Intermediate School District (MAISD) is seeking proposals from qualified vendors to provide, implement, and support a fully cloud-based Voice over IP (VoIP) phone system. The selected solution must be scalable, reliable, secure, and designed to meet the needs of an educational environment.

Work Details
The selected vendor will be responsible for the following:

- System Design: conduct discovery and needs assessment, provide system architecture and design, ensure compatibility with existing network infrastructure.
- Implementation: system configuration and deployment, onsite and/or remote installation, end-to-end testing and validation.
- Number Porting: port all existing phone numbers to the new system, coordinate with current carrier(s), ensure minimal disruption to services.
- Training: provide administrator training and end-user training resources.
- Support: ongoing technical support with SLA-backed uptime and response times, system monitoring and maintenance.

The proposed system must include core features such as a cloud-hosted VoIP system, auto attendant and call routing, voicemail-to-email, call forwarding/transfer/hunt groups, E911 compliance; user features including dedicated desk phones for each user and softphone capabilities; faxing support for at least 10 fax lines; administration via a web-based management portal; reliability with high availability (99.99% uptime or better) and data encryption.

Period of Performance
The project is expected to start on July 1, 2026.

Place of Performance
The contract will be performed at Montcalm Area Intermediate School District located in Stanton, Michigan.

Bidder Requirements
Vendors must include a company overview and experience in their response. They should also provide security and compliance information. Bids must be submitted in a sealed envelope to MAISD’s Central Office.
