RFB 2025-053 Kitchen Exhaust Cleaning & Repair Services

Background
The University of Maine System (UMS) is a comprehensive public institution of higher education established in 1968, uniting six public universities across 10 campuses. UMS serves over 30,000 students annually and is committed to providing quality education while fulfilling its mission of teaching, research, and public service. The University seeks to engage contractors for bi-annual kitchen exhaust cleaning and repair services to ensure safety and compliance with fire regulations.

Work Details
The contractor will provide bi-annual cleaning for fourteen (14) kitchen hoods and exhaust systems, as well as annual cleaning for ten (10) kitchen hoods and exhaust systems. Services include:

- Cleaning all fans and kitchen exhaust equipment prior to spring break (mid-January) and mid-June for bi-annual systems; mid-June for annual systems.
- Compliance with National Fire Protection Association (NFPA) standards.
- On-site disposal of waste generated during cleaning.
- Protection of kitchen equipment during cleaning.
- Cleaning of canopies, filters, screens, grease traps, plenums, exhaust fans, vertical/horizontal ducts, rooftop exhausts, and baffles.
- Use of grease remover chemicals or equivalent processes.
- Minor repairs up to $100 without prior approval; repairs exceeding this amount require university approval.
- Reporting any necessary mechanical or structural repairs post-cleaning.
- Providing a detailed inspection report including system conditions and equipment information.

Period of Performance
The contract will commence on July 1, 2025, with services scheduled bi-annually during winter break and the third or fourth weeks of May.

Place of Performance
Services will be performed at various locations within the University of Maine System campuses.

Bidder Requirements
Respondents must complete the Debarment, Performance and Non-Collusion Certification Form provided in Appendix B. The contractor must not be debarred or suspended from participation in government contracts. The University encourages participation from diverse businesses including MBE, WBE, SDVOSB among others.
