Description

The Department has a need to purchase CISCO Teleconferencing Equipment. The contractor will provide the equipment in new and unused condition, delivered to the DPSCS IT Warehouse.
Background
The Department of Public Safety and Correctional Services (DPSCS) is seeking to procure Cisco Teleconferencing Equipment to enhance its communication capabilities. The goal of this contract is to provide new and unused video conferencing equipment that will be delivered to the DPSCS IT Warehouse. This will ensure that the agency can effectively conduct meetings in various settings.

Work Details
The contractor will supply the following Cisco Teleconferencing Equipment:

1. 50 Cisco Desk Pro Collaboration Devices (Model: CS-DESKPRO-K9)
2. 50 Cisco Room Bar Pros (Model: CS-BARPRO-K9)
3. 25 Cisco Room Bars (Model: CS-BAR-T-K9)
4. Cisco Ceiling Microphones Gen 2 (Model: CTS-MIC-CLNG-G2) - 2 units
5. Various accessories including power cords, HDMI cables, Ethernet cables, and mounting kits for the devices listed above.

Additionally, the contractor will provide installation and training services which include:
- Registering all devices to the DPSCS Webex Control Hub.
- Completing directory integration and Google Calendar integration.
- Configuring macros for joining Zoom, Google Meet, and MS Teams meetings.
- Performing User Acceptance Testing (UAT).
- Providing 40 hours of remote support for the project within six months of acceptance testing completion.
- Training administrators on Webex Control Hub and operation of large conference room video systems.

Period of Performance
The contract performance period is expected to commence upon award and continue until all equipment is delivered and services are completed. Specific timelines for training and support are outlined in the scope of work.

Place of Performance
The primary location for performance will be at DPSCS – 7122 Ambassador Road, Woodlawn, MD 21244. Additional activities may occur at Reisterstown Plaza Office Center.

Bidder Requirements
This procurement is designated as a Small Business Reserve (SBR), meaning only certified small business vendors are eligible to submit proposals. Bidders must also be authorized resellers for Cisco products and may need to provide a Letter of Authorization from the manufacturer. Additionally, bidders must comply with specific invoicing requirements as outlined in the solicitation.

LIMITED TO MASTER CONTRACTORSOnly Master Contractors that are awarded a contract under the Hardware and Associated Equipment and Services 2012, 060B2490022, are eligible to submit a bid in response to this secondary competition Purchase Order Request for Proposal (PORFP). A current Master Contractor under the named Contract may submit an LOA with their bid to be considered for the award.  Pricing must be fully loaded.    50 Cisco Desk Pro devices will be utilized in small huddle rooms.  The capacity of these rooms will not exceed a few people.  50 Cisco Room Bar Pros and Cisco Room Bars will be utilized in small to medium sized conference rooms.  Most conference rooms seat a maximum of 10 people.  Approximately 10 conference rooms seat 20-30 people.
