RFP-25012 Point of Sale Software and Support Services

Background
The Baltimore City Public Schools (City Schools) is the fourth largest public school system in Maryland, serving approximately 76,000 students across 156 facilities. The system is governed by the Baltimore City Board of School Commissioners and has an annual operating budget of approximately $1.3 billion.

City Schools is seeking a qualified vendor to provide a new Point of Sale Software System and Support Services to enhance its Food and Nutrition Services, which currently relies on outdated technology. The goal is to implement a modern, integrated software solution that improves operational efficiency and meal service quality.

Work Details
The selected vendor will provide a comprehensive Point of Sale Software System that includes:
- Implementation, training, and ongoing support for both front-of-house and back-of-house operations.
- A USDA-approved School Meals Software program that meets National School Lunch Program requirements.
- Cloud-based access for City Schools to manage updates and download database backups.
- Robust reporting capabilities for compliance with state and USDA requirements.
- Web-based functionality with a centralized database that does not require replication.

Modules include:
- Point of Sale/Front of House: cashier management, electronic payment acceptance, customizable meal type keyboards.
- Customer information management.
- Student Management.
- Back of House modules for ordering, receiving, invoicing, inventory management, menu planning, production records, and nutrient analysis.

Period of Performance
The anticipated term of the contract is four (4) years from the date after Board approval.

Place of Performance
The services will be performed at various locations within the Baltimore City Public Schools district.
