Prevention and Health Promotion Administration Event Coordination/Planning

Background
The Maryland Department of Health (MDH), specifically the Prevention & Health Promotion Administration (PHPA), is issuing this Request for Proposals (RFP) to secure event and meeting planning services aimed at advancing public health workforce development efforts.

The PHPA is a significant entity within MDH, tasked with overseeing a diverse public health workforce and managing substantial funding to implement critical public health programming across the state.

Work Details
The selected contractor will provide comprehensive event planning and facilitation services for various events, including:
1. In-Person Conference Planning: Organizing a two-day conference for approximately 75 public health workforce members focusing on skill enhancement and networking.
2. Virtual Employee Appreciation Events: Planning and executing two virtual events for around 600 employees, celebrating their contributions with interactive activities and formal recognition.
3. Virtual Meeting Facilitation: Managing one large-scale virtual meeting for up to 600 staff members, ensuring effective communication and engagement throughout the event.

Specific tasks include venue management, logistics coordination, event materials preparation, catering arrangements, speaker coordination, onsite management, post-event evaluation, and ensuring compliance with ADA requirements.

Period of Performance
The anticipated period of performance for this contract is from January 1, 2025, to December 31, 2025.

Place of Performance
Services will be performed in various locations as specified by the Maryland Department of Health for in-person events and virtually for online meetings.
