Council Chambers Video System - RFP No. DPW 2024 009

Background
The Town of Riverdale Park is seeking proposals to upgrade the audio, video, and sound system equipment in the Town Hall Council Chambers. This facility serves various functions including Town Council meetings and community events. The current system requires immediate replacement to enhance live and recorded broadcasts, ensuring compatibility with remote participation platforms such as Zoom, Microsoft Teams, or Google Meets.

The goal is to implement modern, user-friendly technology that supports hybrid meeting formats.

Work Details
The project involves designing, developing, and installing a new audiovisual system that includes:
- (7) 21.5" LCD monitors for Council Members on the Dais
- A 65" monitor for the Council Chambers
- (8) Gooseneck microphones with wireless receivers (totaling 13 microphones for Council Members, Staff, and lectern use)
- New ceiling-mounted speakers as needed
- (4) High-Definition IP cameras with PTZ capabilities
- Camera controller and video switcher
- Integration of all conference system components
- AV rack located in a new AV room
- Hardware and software for hybrid streaming and recording of meetings
- An integrated control system for user-friendly operation
- Digital media storage solutions for retrieval purposes
- Audio control board and WXGA projector with screen.

The contractor must provide detailed drawings of the new systems, conduct testing post-installation, offer training for staff, and ensure ongoing support during the warranty period.

Period of Performance
The contract will commence upon award and is expected to be completed within a specified timeframe following the installation schedule outlined in the RFP.

Place of Performance
The work will be performed at the Town Hall located at 5008 Queensbury Road, Riverdale Park, MD 20737.
