Description

Air Filter Maintenance IFB
Background
The University of Maryland, Baltimore County (UMBC) is seeking a contract for air filter maintenance services across approximately thirty-three buildings on its campus. The goal of this contract is to ensure the proper functioning and cleanliness of air filtration systems, which is crucial for maintaining indoor air quality and supporting the university's mission.

Work Details
The contractor will be responsible for the following tasks:

1) Supply all necessary labor and materials for servicing filters.

2) Remove and dispose of dirty filters at an off-site facility at no extra charge.

3) Vacuum filter racks when changing final filters and clean the area upon completion.

4) Notify a UMBC representative 48 hours prior to service visits.

5) Ensure contractor personnel wear uniforms displaying their name and company name.

6) Sign out keys from the Central Plant location daily.

7) Provide and install filter log labels on each serviced air handler, including service date, filter identification, pressure drop across filters, and technician's name.

8) Maintain detailed service tickets signed by a UMBC representative, documenting company name, reported problems, work performed, resolutions, material descriptions (including air handler number, quantity, size, type), labor descriptions (number of people, hours worked), and signatures from both parties.

9) Change pleat filters two times per year and Ridged Mini-Pleat MERV14 filters when pressure drop exceeds 1.5 inches; specific buildings will require four changes per year.

10) Meet attached filter specifications/requirements.

11) Provide a dedicated contact person for the project.

12) Perform services according to an agreed-upon schedule with UMBC.

13) The university reserves the right to cancel the contract if services are unsatisfactory within thirty days of written notice.

Period of Performance
The contract is anticipated to commence on September 1, 2024, for one year with five one-year renewal options at the sole discretion of UMBC.

Place of Performance
The services will be performed at various locations throughout the University of Maryland, Baltimore County campus.
