Request for Responses Hosted VoIP Unified Communications Phone Solution

Background
The Massachusetts School Building Authority (MSBA) is an independent public authority established under Chapter 208 of the Acts of 2004. The MSBA's mission is to assist in the construction and renovation of public school facilities in Massachusetts.

This Request for Responses (RFR) seeks to select a provider for a remotely hosted VoIP unified communications phone solution that is reliable, user-friendly, flexible, and secure.

Work Details
The selected provider will be required to deliver a remotely hosted VoIP unified communications phone solution with the following features:
1. Ability to communicate over an existing 1000M Comcast metro Ethernet circuit.
2. Maintain current mapping and association of DIDs and internal phone number extensions with users.
3. Provide a web dashboard for support ticket creation, billing tracking, feature change requests, and user extension administration.
4. Offer a softphone feature for all users and provide VOIP-enabled desk phones as needed.
5. Installation, documentation, and training must be included.
6. Provide digital/analog converters if needed for analog devices like fax machines and POTS phones; include a fax to/from email feature as an option.
7. Reporting capabilities to track utilization rates and other relevant metrics.
8. Unlimited system upgrades for user/admin interfaces as they become available.
9. 24/7/365 customer support access.
10. Additional features that enhance the overall platform.

Period of Performance
The contract will be performed over an initial term of three years with up to two annual renewal options at the MSBA's discretion, totaling approximately five years.

Place of Performance
The services will be performed at the MSBA's headquarters located at 40 Broad Street, Suite 500, Boston, MA 02109.

Bidder Requirements
Firms responding to this RFR are encouraged to include certifications as Minority Business Enterprise (MBE), Women Business Enterprise (WBE), Veteran Business Enterprise (VBE), Service-Disabled Veteran-Owned Business Enterprise (SDVOBE), Disability-Owned Business Enterprise, LGBT Business Enterprise, or any combination thereof.
