Copier Management Program

Background
Nicholls State University is seeking to establish a Copier Management Program to supply copy machines to various departments on campus. The goal of this contract is to obtain office equipment at the most economical price while ensuring that all necessary services and supplies are included.

The University aims to enhance its operational efficiency through the provision of modern, multifunctional copiers that can handle printing, scanning, and faxing tasks.

Work Details
The selected vendor will provide a bundled rental service for copy machines, which includes all parts, hard drives, printer drivers, fax drivers, service, toner, installation, training, and expendable supplies (excluding paper).

Bidders may submit proposals for new, rebuilt, reconditioned, or remanufactured equipment with a manufacture date of 2019 or later. The copiers must be digital with 'scan once print many' technology and capable of handling a specified monthly volume of copies.

Specific segments and quantities required include:
- Segment DI: 26 units (45+ PPM)
- Segment DII: 12 units (30+ PPM)
- Segment DIII: 13 units (30+ PPM)
- Segment DIV: 23 units (50+ PPM)
- Segment DV (color): 6 units (40+ PPM)
- Segment P1: 4 units (40+ PPM)

Each copier must meet detailed specifications regarding functionality and capacity. The vendor is responsible for installation and training at no additional cost.

Period of Performance
The initial contract period will commence on July 1, 2025, and conclude on June 30, 2028. There is an option for renewal for two additional twelve-month periods at the same prices and conditions.

Place of Performance
The services will be performed on the campus of Nicholls State University located in Thibodaux, Louisiana.

Bidder Requirements
Bidders must provide a signed Certification Statement with an original signature. They are required to submit their bids using the provided bid sheet/form and include literature for each model proposed. A certificate of insurance may also be required. Bidders must ensure compliance with all specifications outlined in the solicitation document.
