RFP Fleet Management 2025

Background
The City of Junction City is seeking proposals from qualified companies to provide fleet management services. The goal of this contract is to assist the City with the acquisition, licensing, titling, registering, disposal, and maintenance of approximately 111 fleet vehicles. This RFP aims to ensure a competitive procurement process that serves the best interests of the City while providing an opportunity for qualified companies to present their services.

Work Details
The selected vendor will be responsible for:
- Assisting with the acquisition, licensing, titling, registering, disposal, and maintenance of approximately 111 fleet vehicles.
- Meeting with City personnel to recommend which fleet vehicles to replace and when.
- Providing a system to track fleet maintenance and minimize routine maintenance and repair costs.
- Supporting vehicle returns and replacements as specified in the contract.
- Proposing alternative timeframes or mileage intervals for vehicle replacement that may benefit both the vendor and the City.
- Offering a detailed list of services included in the cost proposal such as open-ended leases, maintenance program processes, risk management services, and vehicle resale processes.

Period of Performance
The contract will be awarded for a multiple-year period allowing ordering throughout a five (5) year timeframe upon mutual agreement between the successful bidder and the City.

Place of Performance
Services will be performed within the jurisdiction of Junction City, Kansas.

Bidder Requirements
Proposers must be properly licensed to conduct business in Kansas. They are required to submit a standard contract suitable for fleet management agreements and provide references from at least three entities for which similar services have been provided.
