Audio Visual Maintenance and Support - Small Purchase

Background
The Illinois Housing Development Authority (IHDA) is seeking a vendor to provide audio-visual maintenance and support services. The goal of this contract is to ensure the proper functioning and maintenance of integrated and portable audio-visual systems at the Authority's office located at 111 E. Wacker Drive, Chicago, Illinois.

Work Details
The vendor will provide support, repair, maintenance, design, and installation services for audio-visual (AV) systems. Key tasks include:
1. Monthly routine and preventative maintenance services including systematic inspection, adjustment, software/firmware updates, replacement of hardware, performance testing, and analysis.
2. Assessment, repair, and replacement services for AV technology with troubleshooting support.
3. Provision of loaner equipment (hot spares) such as projectors, audio amplifiers, LCD flat panels, microphones, cameras, etc., during repairs exceeding 48 hours.
4. Design and installation of AV systems in conference rooms as standardized by the Authority.
5. Quarterly reports on maintenance visits detailing equipment checklists and recommended schedules.
6. Coordination with manufacturers for warranty claims and repairs.

Period of Performance
The contract will commence upon execution for an initial term of one year with potential extensions not exceeding a total of ten years.

Services will be performed at the Illinois Housing Development Authority's office located at 111 E. Wacker Drive, Chicago, Illinois.

Bidder Requirements
Vendors must have manufacturer-certified technicians with a minimum of five years' experience in audiovisual production. Subcontractors are allowed but must meet specific certification requirements if their contracts exceed $100,000.
