Water Meter Reading Services

Background
The Town of Vernonburg, Georgia, is seeking proposals from qualified firms or individuals to provide water meter reading services for nineteen (19) properties located within the municipality’s service area. The goal of this contract is to ensure accurate water meter readings, maintain efficient water usage records, and address any minor repairs and emergency situations that may arise.

Work Details
The selected contractor will be responsible for:

1. Meter Reading: Perform physical readings for nineteen (19) residential properties plus two (2) master meters on a bimonthly basis using appropriate technology.

2. Data Reporting: Provide detailed reports including Meter ID/Location, Current Reading, Date of Reading, and any anomalies encountered.

3. Timeliness: Complete readings within the first five business days of the month and submit reports by the seventh business day.

4. Accuracy and Accountability: Ensure accuracy of all readings and handle discrepancies promptly.

5. Physical Condition of Meters: Inspect and report on meter conditions; perform minor repairs such as replacing lids/boxes and endpoints/antennas.

6. Repairs and Maintenance: Make minor repairs to meters, install new meters as needed, handle nonpayment disconnections/reconnections, and address emergency repairs like leaks or malfunctioning meters.

7. Emergency Availability: Be available on-call for emergency repairs outside regular hours with a 24/7 contact number.

8. Customer Interactions: Engage with customers regarding meter issues or high bills and issue notifications as necessary.

9. Vehicle and Equipment Maintenance: Provide own vehicle and equipment for operations.

10. Billing: Generate monthly water usage data based on readings for the Town’s accounting.

Period of Performance
The initial contract will be for two years with an option for renewal.

Place of Performance
Services will be performed within the Town of Vernonburg, Georgia.

Bidder Requirements
Bidders must provide proof of active insurance including general liability and worker’s compensation insurance, along with a certificate naming the municipality as an additional insured party if applicable.
