RP033-24 Provision of Maximo Platform Migration Professional Services on an Annual Contract

Background
The Gwinnett County Board of Commissioners is seeking competitive sealed proposals from qualified service providers for the Provision of Maximo Platform Migration Professional Services on an Annual Contract.

This contract is specifically for the Department of Water Resources, which utilizes Maximo, a Computerized Maintenance Management System (CMMS) software, to manage approximately 45,000 assets and 40,000 inventory items across county facilities.

The current version of Maximo in use is set to reach end-of-life support by September 2025, necessitating a migration to a cloud-hosted Software-as-a-Service (SaaS) structure and an upgrade to the latest Maximo Application Suite (MAS).

Work Details
The selected service provider will be responsible for:
1. Evaluating the current on-premises Maximo platform and providing recommendations for configuration changes.
2. Developing a detailed plan for transitioning to the cloud, including a task plan and transition schedule.
3. Performing the migration of the existing Maximo instance to the cloud and upgrading to MAS without any functionality loss.
4. Providing technical support during testing phases and collaborating with county administrators to validate success through a comprehensive Test Plan.
5. Implementing configuration changes aligned with industry best practices and providing ongoing support services including Level 1-3 support for five years.
6. Ensuring disaster recovery strategies are in place with guaranteed uptime and data backup protocols.
7. Handling data ownership and transfer processes upon contract termination.

Period of Performance
The anticipated performance period is five years upon contract execution, with options for annual renewal.

Place of Performance
The services will be performed primarily at Gwinnett County facilities located in Lawrenceville, Georgia.
