Background
The Unified Government of Athens-Clarke County (ACCGov) is seeking proposals for Offsite Records Storage, Retrieval and Destruction Management Services to support their Central Services, Internal Support Division. The goal is to ensure efficient and secure management of records while complying with applicable regulations. The selected vendor must have a storage facility within a 50-mile radius of the Athens-Clarke County Courthouse located at 325 E. Washington Street, Athens, GA 30601.
Work Details
The contractor will provide comprehensive services including:
1. Transportation of records: Secure handling and transport of physical cartons, standard delivery schedules, emergency pickups, email confirmations for pickups and arrivals, trackable barcodes for each container, and detailed workflows for chain-of-custody.
2. Storage Facility: Must be climate-controlled, equipped with an intrusion alarm system, compliant with National Fire Protection Association standards, and have adequate capacity for current and future needs.
3. Retrieval Services: Delivery to authorized ACCGov staff within specified timeframes; emergency retrievals available 24/7; unique order numbering system for tracking requests.
4. Record Destruction: Certified destruction processes compliant with laws, providing certificates of destruction upon completion.
5. Inventory Tracking System: Automated system for tracking storage and retrievals with reporting capabilities accessible by ACCGov staff.
6. Online Customer Portal: For easy access to requests and inventory information.
Period of Performance
The contract will be performed for an initial period of one year with options to renew for four additional one-year periods.

Services will be performed at the contractor's storage facility located within a 50-mile radius of the Athens-Clarke County Courthouse.
