PHOTOCOPIER LEASE and MAINTENANCE

Background
The Washington County Board of Commissioners is seeking bids for the lease and maintenance of photocopiers for various county buildings in Sandersville, Georgia. The goal of this contract is to supply new photocopiers to replace existing machines, ensuring that the county has reliable equipment for its operations.

Work Details
The project includes the following requirements:
- Supply, deliver, and set up 18 photocopiers at 10 locations within Sandersville, Washington County.
- Replace current copiers with similar or better models.
- New copiers must have quality scanning capabilities.
- Remove and return current copiers to the former supplier; proof of insurance is required along with a letter stating full responsibility for safe transport.
- Supply toner and other consumables in a timely manner; bidders must advise on their system/procedure for this.
- Provide service call outs in a timely manner; bidders must outline their procedure and costs, including response time from issue reporting to service engineer arrival.
- Current models include: 6 Sharp MX3071 (one additional required), 10 Sharp MXC304W neo-2, and 1 Sharp BP7031.
- Bidders should provide time from order to supply, proposed machines offered, pricing per color and monochrome copy (current usage: B/W 20,000-30,000 per month; Color 12,000 to 20,000), an example of scanning quality, and procedures for end-of-contract machine removal.
- Quotes are requested for 3-year, 4-year, and 5-year terms.

Period of Performance
The contract will be performed over a term of either 3 years, 4 years, or 5 years as specified in the bids.

Place of Performance
The contract will be performed at various locations within Sandersville, Georgia including the Board of Commissioners’ Office and other county offices.

Bidder Requirements
Bidders must comply with local regulations and complete all necessary documents as per the bid package. Failure to do so will prohibit inclusion of their bid.
