Virtual Reality Dome and Services

Background
The Miami-Dade Aviation Department (MDAD) is seeking to establish a contract for the purchase of a portable 20-foot geodesic immersive event dome and its accessories, along with video content and production-related services.
This initiative aims to standardize MDAD's exhibition booth at trade shows, enhancing branding experiences and providing an immersive environment for visitors at Miami International Airport (MIA).

Work Details
The contract includes the following products and services:
1. **Products/Equipment**:
- A 20-foot portable geodesic immersive projection dome with a frame and standard hoop door.
- Accessories including blackout vinyl cover, projection liner, negative air pressure system, and storage container for travel.
- Projection system components such as high-resolution projectors (minimum 4,000 lumens), server system with software, capture card, server rack, cabling package, projection system stand, signal distribution feature, and uninterruptible power supply.
- Surround sound system including active loudspeakers, subwoofer, control board, and cabling package.

2. **Production Services**:
- Engineering and design of virtual reality content in collaboration with MDAD.
- Deliverables include up to three locations per day for three business days of production; nine unique 1-2 minute VR videos per year; two master edits with voiceover; two main master trailers; and delivery of finalized videos within two business days post-production.

3. **Video Content Creation Services**:
- Onsite recording at MIA and other Miami-Dade areas capturing high-quality footage.
- Storyboarding for each video in collaboration with MDAD.

4. **On-Site Installation**:
- Delivery, installation, configuration of all equipment within five business days post-delivery.

5. **Training**:
- Training for County staff on setup and operation of the dome structure and content production.

Period of Performance
The contract will commence on the first calendar day of the month succeeding approval by the Board of County Commissioners and will expire on the last day of the 36th month thereafter.

Place of Performance
The primary location for performance will be Miami International Airport (MIA), located at 2100 NW 42nd Avenue, Miami, FL 33142.

Bidder Requirements
Bidders must be regularly engaged in providing geodesic immersive event domes and related services. They must provide two references from previous clients who can verify their capability to deliver similar services. Bidders are required to assign a representative authorized to discuss contract matters with MDAD's Project Manager.
