Public Records Search & Case Management Solution

Background
The Florida Department of Environmental Protection (DEP) is issuing a Request for Information (RFI) to gather insights from interested entities regarding a Public Records Search & Case Management Solution.
The purpose of this RFI is to explore available solutions that can provide secure and precise searches across Microsoft O365 records, particularly focusing on Exchange Online and Office 365.
The DEP aims to enhance its capabilities in case management, auditability, deduplication, redaction, and integration with Azure enterprise systems.
This RFI is not a solicitation for bids or proposals, and no contract will be awarded based on the responses received.

Work Details
The DEP seeks information on solutions that meet the following requirements:
- Secure search capabilities across Microsoft O365 records with an emphasis on Exchange Online and Office 365.
- Robust case management features including auditability and redaction.
- Integration with Azure-hosted deployments capable of scaling to approximately 6,000 mailboxes.
- Compliance with CJIS, HIPAA, and PII handling obligations.
- Solutions should support features such as:
- Access control and authorization including SSO with MFA.
- Granular search capabilities including field-level searches and keyword/phrase searches.
- Case management functionalities such as creating/managing cases, legal hold management, and reporting dashboards.
- Advanced features like deduplication and role-based redaction tools.
- Integration capabilities with existing systems like SharePoint Online or other EDMS platforms.

Place of Performance
The services will be performed in conjunction with the Florida Department of Environmental Protection's operations, primarily utilizing Azure Government Cloud for hosting.

Bidder Requirements
Vendors must demonstrate proven expertise in providing Public Records Search & Case Management Solutions.
Responses should include compliance codes indicating how their proposed solutions meet the specified requirements.
