Description

Background
The City of Jacksonville is seeking proposals for the management of the Jacksonville Jazz Festival website through its Sports and Entertainment Office. The festival, which takes place annually over Memorial Day weekend, is one of the largest free jazz festivals in the United States, attracting over 60,000 attendees. The goal of this contract is to ensure the website remains current, visually appealing, and effectively communicates festival information to attendees.

Work Details
The selected vendor will be responsible for maintaining and managing the existing Jacksonville Jazz Festival website. Key tasks include:

1) Providing comprehensive festival information;
2) Communicating talent lineup and schedule;
3) Featuring ancillary events and community programming;
4) Promoting Premium Experience packages;
5) Providing attendee resources including FAQs;
6) Supporting vendor and exhibitor participation;
7) Promoting sponsorship opportunities;
8) Fostering community engagement through social media integration;
9) Communicating real-time updates;
10) Ensuring accessibility and mobile responsiveness;
11) Enabling performance tracking with analytics tools;
12) Providing media resources for press inquiries;
13) Supporting multi-phase event planning with year-round content updates.

The website must be built on WordPress using Elementor, ensuring it is user-friendly across devices and compliant with ADA standards. Specific deliverables include design updates, SEO optimization, graphic creation, video production capabilities, a real-time status update bar, and secure hosting with SSL certification.

Period of Performance
The contract will commence upon award and must ensure that the updated website is live within fifteen (15) business days of receiving necessary materials from the Office of Sports & Entertainment or previous vendor.

Place of Performance
Services will primarily be performed within Duval County, Florida.

Bidder Requirements
Bidders must be located within a 400-mile radius of Jacksonville, Florida, operate within the Eastern Standard Time Zone, and provide proof of a valid local business license. They must demonstrate experience in managing WordPress websites using Elementor and provide mockups of key site pages. Additionally, bidders are required to have project management software for communication with the Office of Sports & Entertainment.
