Background
The Florida Department of Transportation (FDOT) is seeking written proposals from qualified Proposers to provide Community Awareness services for projects in District Five. The goal of this contract is to enhance community engagement and awareness regarding transportation projects, ensuring effective communication and involvement of stakeholders.
Work Details
The Vendor will be responsible for the planning and preparation of public involvement/community awareness activities, which include:
1. Development and/or review of the Community Awareness Plan.
2. Identification of stakeholders and community participants, including public officials.
3. Preparation, conduct, and facilitation of public meetings as the Department's representative.
4. Support for Department staff with transportation design technical expertise.
5. Development and execution of effective Community Engagement/Awareness campaigns with minimal direction from the Department.
6. Production of videos and presentations (voiced and unvoiced).
7. Creation of visually appealing project displays and exhibits.
8. Media conversion, electronic publishing services, and printing services for various materials such as property owner mailings, meeting exhibits, signs, name tags, sign-in sheets, comment forms, and speaker cards.
9. Preparation and publication of meeting notices in the Florida Administrative Register at least seven days before scheduled public meetings.
10. Development and maintenance of stakeholder mailing lists.
Period of Performance
The contract is anticipated to begin upon execution by both parties and will be effective for a term of three (3) years.
Place of Performance
The services will be performed within District Five in Florida.
Bidder Requirements
All bidders must be registered in the State of Florida’s MyFloridaMarketplace system by the time and date of the technical proposal opening to avoid being considered non-responsive. Out-of-state corporations must be authorized to do business in Florida prior to contract award.
