Background
The City of Fort Lauderdale, Florida, is seeking proposals from qualified and licensed firms to provide comprehensive Commercial Lease Administration and Tenant Relations Management Services for its real property portfolio. The City acts as lessor and aims to ensure professional lease administration, protect its revenue stream, and maintain compliance with applicable laws and ordinances.
The selected contractor will serve as the City's dedicated lease administrator and tenant-facing point of contact, managing active commercial lease agreements, license agreements, and related occupancy arrangements.
Work Details
The contractor will manage the full rent collection cycle, including establishing secure procedures for payments, preparing monthly statements for tenants, tracking payments in real-time, administering contractual rent escalations, and coordinating with the Finance Department for proper revenue accounting.
They will also handle tenant billing functions by preparing itemized invoices, conducting annual CAM reconciliations, tracking sales tax on charges, processing concessions, and maintaining a detailed billing ledger. Additionally, the contractor will monitor payment compliance by issuing late-payment notices, preparing Notices of Default for lease violations, maintaining a default tracking log, and coordinating with legal counsel during default proceedings.
They will act as the primary point of contact for tenant communications and ensure compliance with lease obligations by monitoring key dates and tenant improvement requests. Regular reporting on portfolio administration will be required, including monthly reports on collections and an annual summary of revenue collected.
Period of Performance
The initial contract term shall commence upon final execution of the contract by the City and shall expire two (2) years from that date. The City reserves the right to extend the contract for additional three (3), one (1) year terms.
Place of Performance
Services will be performed within the City of Fort Lauderdale's jurisdiction.
Bidder Requirements
Proposers must have at least five (5) years of verifiable experience in commercial lease administration or property management services. They must be properly licensed to conduct business in Florida and hold an active Florida Real Estate Broker license if required for services performed under this contract. Proposers should demonstrate financial capability to perform the services required.
