Background
The District Board of Trustees of Valencia College, Florida, is seeking qualified firms to provide comprehensive Classroom and Conference Room Technology Services.
Valencia College, founded in 1967, is a prominent educational institution with a mission to enhance student success and currently serves over 72,000 students across nine campuses.
The goal of this contract is to establish a turnkey operation for the purchase, installation, support, repair, and servicing of technology systems in classrooms and conference rooms throughout the college.
Work Details
The selected vendor will be responsible for:
1. Providing all materials, labor, programming, and related services necessary for classroom and conference room technology installations.
2. Offering same-day responses for high-priority issues and resolving them within specified timeframes.
3. Delivering technical phone and remote support as well as local service for equipment maintenance.
4. Utilizing the college's incident management software to keep stakeholders informed during service incidents.
5. Storing equipment until installation without requiring Valencia College to manage storage logistics.
6. Performing in-house repairs and warranty services for all major manufacturers' equipment installed in classrooms.
7. Providing a minimum one-year warranty on all parts and labor used during installation.
8. Ensuring consistency in installation practices across all projects.
9. Having a certified programmer on staff to support programming needs for classroom technology.
Period of Performance
The contract will have an initial term of three years starting upon approval by the college's board, with the possibility of two one-year extensions based on mutual agreement, allowing for a total potential duration of five years.
Place of Performance
Services will be performed at various campus locations of Valencia College including West Campus, East Campus, Winter Park Campus, Osceola Campus, Lake Nona Campus, Poinciana Campus, School of Public Safety, Advanced Manufacturing Training Center, and Valencia/UCF Downtown Campus.
Bidder Requirements
Proposers must have been in business performing similar services for at least five years and must have completed at least ten relevant projects within the last three years.
Additionally, they must provide evidence of a dedicated account team experienced in communicating within the college's unique service area.
