1600 sq ft of Long-term Storage in Gainesville, Florida

Background
The City of Gainesville is seeking to secure storage space for its inventory of sets, props, and costumes used in the Hoggetowne Medieval Faire. The goal of this contract is to provide a safe and accessible storage solution for these items, ensuring they are protected and available for use during the event.

Work Details
The contractor will provide a total of 1,600 square feet of secure storage space, which can be a single warehouse or multiple units that together meet the required square footage. The storage must be enclosed, leak-free, and lockable. It should have a bay door or double doors for easy loading and unloading and be accessible to City representatives 24/7.

The inventory may be stored in various types of spaces including warehouses, storage units, trailers, or containers located in or deliverable to Gainesville, Florida. If trailers or containers are used, the quote must include delivery costs to City property as well as costs for moving the units to and from the Hoggetowne Medieval Faire location during January and February. The location of the Faire will be determined annually but will occur within Gainesville or Alachua County.

Period of Performance
The contract term will commence on October 1, 2025, lasting for one year with an option for up to four additional 12-month extensions.

Place of Performance
The contract will be performed in Gainesville, Florida.

Bidder Requirements
The contractor must maintain specific insurance coverage throughout the contract term including Worker’s Compensation Insurance compliant with Florida Statutes, Public Liability Insurance with a minimum coverage of $500,000 per occurrence naming the City as an additional insured, and Automobile Liability Insurance with similar coverage limits. Contractors must also comply with anti-human trafficking laws and utilize the U.S. Department of Homeland Security’s E-Verify system for employment eligibility verification.
