Background
The County of San Diego, through its Planning and Development Services Department, is seeking to implement a Workplace Management Software solution to optimize the utilization of its physical workspace and facilitate a hybrid workforce.
The software aims to assist employees with hybrid office schedules by providing robust features for desk and space booking, capacity management, visitor management, and analytics.

Work Details
The Workplace Management Software must include the following features:
1. Desk and Space Management:
- Real-time availability and booking of desks, meeting rooms, and other shared spaces.
- Flexible booking options (fixed, recurring, ad-hoc).
- Integration with existing calendar systems (Microsoft Office 365) for notifications and reminders.
- Mobile app for on-the-go booking and check-ins.

2. Capacity Management:
- Capacity limits for rooms and spaces with automated reminders.

3. Visitor Management:
- Visitor registration and sign-in process along with visitor badges and access control.

4. Analytics and Reporting:
- Detailed analytics on workspace utilization and customizable reports.

5. Integration Capabilities:
- Integration with Active Directory, HR systems, building management systems, and API access for custom integrations.

6. User Interface:
- User-friendly interface with intuitive navigation; mobile-friendly design; dedicated mobile app for iOS and Android; ability to segment access within the app for different user groups.

7. Contractor Requirements:
- Dedicated customer support representative; data security measures to protect digital information; invoicing based on issued licenses.

Period of Performance
The contract will have an initial term of one year from the date of award, with four additional one-year options available.

Place of Performance
The services will be performed in San Diego County.
