Vending Machine Services for City-Owned Facilities

The City of Hayward, located in Alameda County, is seeking a qualified contractor to provide vending machine services for its city-owned facilities. The city aims to enhance the convenience and quality of vending options available to its employees across various locations. With a population of approximately 158,937, Hayward is committed to providing a full range of services to its residents, including maintaining facilities that require reliable vending solutions.

Work Details
The contractor will supply, install, and maintain modern, energy-efficient, and ADA-compliant vending machines at five designated locations:
- City Hall (50 employees)
- Streets/Water (40 employees)
- Landscape/Facilities (30 employees)
- Utility Building (20 employees)
- Water Treatment Plant (20 employees)

The services include:
- Providing a diverse selection of competitively priced snacks and beverages, including healthier options.
- Ensuring reliable maintenance and prompt repair service.
- Offering secure cashless and contactless payment options.
- Delivering transparent reporting and revenue management if commission-based.
- Providing professional customer service and account management.

The vendor must also ensure routine restocking, product rotation, removal of expired items, compliance with health regulations, and regular cleaning. At the end of the contract term, the vendor is responsible for removing all equipment and restoring the sites as required.

Period of Performance
The contract period will commence upon award and will be ongoing as specified in the proposal until terminated by either party with appropriate notice.

Services will be performed at various city-owned facilities located in Hayward, California.

Bidder Requirements
Bidders must demonstrate compliance with all executive orders and laws regarding fair employment practices. They should possess valid California business licenses and meet insurance requirements including Commercial General Liability, Automobile Liability, Workers' Compensation, Employer's Liability, and Professional Liability. Additionally, bidders are encouraged to indicate if they are local or minority/women-owned businesses.
