Trade Show Exhibit Booth Services

Background
The City of Anaheim, through its Central Purchasing Office on behalf of the Economic Development Department, is seeking proposals for Trade Show Exhibit Booth Services. The goal is to provide comprehensive support for the design, fabrication, and management of the City’s trade show booth utilized at various expos and conventions. This contract aims to enhance the visibility and effectiveness of the City’s representation at these events.

Work Details
The contractor will provide a range of services including: show services coordination, design, fabrication, repair, storage, transportation, assembly, and dismantling of the existing trade show exhibit booth. Specific tasks include compliance with venue regulations, arrangements for electrical and internet needs, on-site logistics support during events, full lifecycle management from planning to teardown, and minor modifications or repairs to booth components.

The contractor must also ensure secure transportation of booth materials and provide detailed instructions if City staff are involved in assembly or dismantling.

Period of Performance
The contract will have a performance period of two years with two optional extensions for one additional year each, totaling a potential four-year contract.

Place of Performance
Services will be performed at various event venues as designated by the City of Anaheim. Additionally, storage of booth components must be within twenty miles of the Anaheim Convention Center.

Bidder Requirements
Proposers must demonstrate experience in managing trade show or exhibit booth services and provide details about their project management team. They must maintain active registration with the California Secretary of State and hold an active business license in Anaheim. Compliance with California prevailing wage laws is required.
