RFQ 25-0206161 - Electronic Key Cabinet

Background
The California Department of Technology (CDT) is seeking to purchase an Electronic Key Cabinet as part of its Information Technology (IT) Equipment procurement. The goal of this solicitation is to enhance the security and management of keys within the department's facilities.

Work Details
The contractor will provide the following services and equipment:

1. Delivery and installation of all cabinets, readers, UPS units, stands, and accessories.
2. Network setup using agency-provided connections.
3. Configuration demonstration of the software environment, including users, roles, key profiles, alerts, and reporting schedules.
4. Networking multiple cabinets into a unified system.
5. Validation of all authentication methods and confirmation that audit logging is operational.
6. Provision of electronic documentation including system user guides, administrator manuals, hardware specifications, network and power requirements, maintenance procedures, and troubleshooting resources.
7. Training for administrators and users on cabinet operation, web-based management system, reporting tools, and administrative configuration functions with at least two onsite training sessions for Key System Administrators.

Period of Performance
The contract will commence upon execution on May 8, 2026, with specific timelines for delivery and installation to be determined based on the contractor's proposal.

Place of Performance
The services will be performed at locations designated by the California Department of Technology within the state of California.

Bidder Requirements
Bidders must comply with various certifications including:

1. Certification with the Secretary of State to do business in California.
2. Compliance with California Civil Rights Laws for contracts over $100,000.
3. Submission of a Payee Data Record (STD 204).
4. Completion of Bidder Declaration Forms if claiming Small Business or Disabled Veteran Business Enterprise status.
