RFP-CSF-24-1228 State Fair Grounds Acts and Entertainment Services

Background
The California Exposition & State Fair (Cal Expo) is seeking programmatic expertise for all aspects of grounds acts and strolling entertainment services for the annual California State Fair.
The fair will take place at Cal Expo from July 11 to July 27, 2025.
The goal of this contract is to ensure high-quality entertainment and engagement during the event, enhancing the overall experience for attendees.

Work Details
The contractor will provide consultative services for the 2025/2026 California State Fairs, focusing on various program areas including:
- Advising and recommending a complete programming strategy for grounds strolling entertainment and community stages within budget constraints.
- Managing administrative components of the Grounds Entertainment Department, including performer correspondence and online application management.
- Creating a labor budget in collaboration with Cal Expo management.
- Coordinating with sound, lighting, and stage providers to ensure appropriate production specifications.
- Providing training and supervision to stage managers and coordinating scheduling with union representatives.
- Acting as a liaison with various venue departments to distribute necessary production information.
- Onsite oversight of grounds strolling entertainment during the fair, managing performer schedules and production details.
- Potentially adding additional entertainment programs upon mutual agreement.

Period of Performance
The contract term will be from November 1, 2024, or upon contract approval (whichever is later), through August 14, 2026, with an option to extend for one additional year.

Place of Performance
The services will be performed at Cal Expo in Sacramento, California.
