Request for Proposals To Provide a Comprehensive Managed Information Technology Services f/the City

Background
The City of South El Monte, located in California, is seeking proposals from qualified firms to provide comprehensive managed information technology services. The city aims to enhance the cost-effectiveness, quality, and productivity of its IT operations while ensuring excellent public service delivery. This initiative follows a history of industrial growth and a shift in the city's IT environment from on-premises servers to cloud-based solutions, necessitating updated IT services that align with current technological standards.

Work Details
The selected contractor will be responsible for a range of IT services including: strategic planning and oversight of the City’s IT program; project management; desktop and network support; system upgrades; network administration; cybersecurity measures; and support for council meetings including audio-visual management.

Specific tasks include:
1) Providing strategic planning for municipal service delivery through IT solutions.
2) Managing desktop administration including installation, troubleshooting, and maintenance of hardware and software.
3) Conducting regular evaluations of network security and performance.
4) Offering off-site file backup and disaster recovery solutions.
5) Developing cybersecurity training programs for staff.
6) Providing monthly status reports on IT operations and attending weekly status meetings.

Period of Performance
The contract will commence upon execution in November 2025, with transition/onboarding scheduled from December 2025 to February 2026. The duration of the contract may extend based on performance evaluations.

Place of Performance
Services will be performed at various locations within the City of South El Monte, California.

Bidder Requirements
Proposers must demonstrate experience with similar projects, provide references from public agencies, and comply with the City’s standard professional services agreement. Key personnel must be approved by the City prior to assignment. Insurance coverage limits as specified in the sample professional services agreement must be met.
