Request for Proposals (RFP) Bottled Water Delivery and Water Filtration Services

Background
The Twin Rivers Unified School District (the 'District') is a K-12 public school district located in northeastern Sacramento County, California, serving over 27,000 students. The District aims to provide reliable and cost-effective hydration services exclusively for staff members at school sites and administrative offices through this Request for Proposal (RFP No. P26-001). The services are not intended for student use and will encompass approximately 54 school sites and 4 administrative buildings.

Work Details
The selected vendor(s) will provide bottled water delivery services and optional water filtration unit equipment and maintenance. Key details include:

- Delivery of 5-gallon bottled spring or purified water to approximately 39 locations with an estimated annual delivery of 5,650 bottles.
- Regular delivery every two weeks, with bottle quantities varying per site (typically 4-6 bottles per delivery).
- Rental of hot/cold water cooler units, with semi-annual cleaning and sanitation required.
- Optional pricing for standalone water filtration units that connect to existing potable water sources, including installation, filter changes, and maintenance services.
- A dedicated account representative must be assigned to manage service escalations, site-specific concerns, billing coordination, and equipment requests.

Period of Performance
The anticipated start date for the contract is September 15, 2025, following board approval on September 9, 2025. The initial term of the contract will be for one year with options for two additional one-year renewals.

Place of Performance
Services will be performed at various locations within the Twin Rivers Unified School District in Sacramento County, California.

Bidder Requirements
Vendors must comply with California Public Contract Code requirements and provide necessary certifications including a Certificate of Non-Discrimination, Drug-Free Workplace Certification, Non-Collusion Declaration, and proof of insurance as specified in the RFP. Vendors should also demonstrate experience with K–12 or large public agencies.
