Point of Sale & Park Reservation

Background
The San Bernardino County Regional Parks Department is seeking proposals for a reliable and user-friendly Point of Sale (POS) and Park Reservation system. The goal is to enhance operations related to reservations, data analysis, and event management while integrating with existing and future dashboard controls. The contract will be awarded based on the quality of proposals received.

Work Details
The selected contractor will provide a Reservation Management System (RMS) integrated with a POS system to streamline park facility reservations, improve visitor experience, and enhance revenue tracking. Key features include:
- Online and on-site facility reservations for campgrounds, picnic areas, and event venues.
- Real-time availability tracking and capacity management.
- Multi-user access with defined permission levels.
- Automated confirmations, cancellations, and reminders via email/SMS.
- Integration with County GIS mapping for visualization.
- Reporting & analytics on reservation trends and revenue.

The POS system must support multiple payment methods, generate receipts, manage inventory for merchandise and concessions, and provide real-time sales reporting. Security measures must comply with PCI-DSS standards. The project includes software procurement, system integration, training, and ongoing support.

Period of Performance
The contract period will last from August 2025 to August 2030 with an option to renew for two additional five-year terms.

Place of Performance
Services will be performed at all regional parks in San Bernardino County.

Bidder Requirements
Proposers must be registered with the California Secretary of State if applicable. They should not be debarred or suspended from participation in government contracts. Proposers are required to certify compliance with the Iran Contracting Act of 2010. Additionally, they must demonstrate experience in similar projects and provide customer service capabilities including after-hours support.
