Informal Request for Proposal for IRFP - #R-25001 - Certificate of Insurance Management & Tracking System.

Background
The Los Angeles Unified School District (LAUSD), through its Division of Risk Management & Insurance Services, is seeking proposals for a Certificate of Insurance Management & Tracking System. The goal is to enhance the management of certificates of insurance (COI) issued by vendors to ensure compliance with district requirements.

The contract is expected to not exceed $250,000 and will be awarded based on a comprehensive evaluation of proposals.

Work Details
The contractor will provide a comprehensive software system for managing COIs, which includes:
- A cloud-based Certificate of Insurance Management Software (CIMS) that integrates with LAUSD's Single Sign-On (SSO) system.
- The software must track various types of insurance coverages including Commercial General Liability, Commercial Auto, Pollution Liability, Umbrella or Excess Liability, Workers Compensation, and more.
- Functional requirements include user access control, storage for up to 10,000 certificates annually, routine backups, and a help desk for user support.
- The system should notify users about new documents and allow online searches by various criteria.
- Compliance tracking features must flag non-compliant certificates and notify relevant parties about expirations and deficiencies.
- Reporting capabilities should allow downloads of records and generation of compliance reports.

Period of Performance
The contract will have a period of performance lasting three (3) years with two (2) optional one-year extensions.

Place of Performance
The services will be performed at the Los Angeles Unified School District's facilities located in Los Angeles, California.
