IFB #24-0115 Refrigeration Maintenance and Repair Services _Sacramento, CA

Background
The California Department of Food and Agriculture (CDFA) is seeking a contractor to provide emergency repair and maintenance services for controlled temperature biological chambers. This service is crucial for the Integrated Pest Control Branch located at 3294 Meadowview Road, Sacramento, CA 95832. The goal of this contract is to ensure that the refrigeration units are maintained in optimal working condition to support the agency's mission.

Work Details
The contractor will provide emergency repair and maintenance services for controlled temperature biological chambers, which include:

1. Same day phone support and scheduled response time for repairs during business hours within 24 hours or sooner.
2. Emergency service and repair after-hours and on holidays as needed.
3. On-call diagnostics and repairs as requested by the CDFA Contract Manager to maintain temperature regulation according to manufacturing specifications.
4. Written estimates of parts and labor must be provided before any repairs can commence, with prior authorization from the CDFA Contract Manager required.
5. Services must include all necessary parts, labor for lubrication, adjustments, performance verifications, cleaning of valves and piping, and testing of the unit’s full range of functions after each visit.
6. Routine maintenance tasks include inspecting control systems, checking for leaks, adjusting oil and refrigerant levels, inspecting electrical components, calibrating controls and sensors, cleaning serviceable parts, and performing system functionality tests.

Period of Performance
The contract term is from January 15, 2025, through January 14, 2026, with an option to renew for two additional one-year terms based on funding availability.

Place of Performance
Services will be performed at the Integrated Pest Control Branch located at 3294 Meadowview Road, Sacramento, CA 95832.
