Event Management Services

Background
The City of Los Angeles, Council District 8 (CD8) is seeking proposals from qualified firms to provide Event Management Services, including Fiscal Agent Services for the planning and implementation of community events. CD8 represents over 285,000 constituents in various neighborhoods of South Los Angeles. The goal is to support the sustainability of its culture and community through effective event management.

Work Details
The selected contractors will be responsible for managing community events in coordination with CD8. Responsibilities include:
- Event management and production
- Reviewing and paying invoices submitted for events
- Ensuring compliance of all invoices with city policies and procedures
- Tracking expenses for each event to ensure spending stays within contract limits
- Submitting payment requests to CD8 and the City Clerk
- Providing updated accounting documentation when requested.

Eligible expenses for reimbursement include:
- Event management costs
- Talent such as DJs or other entertainment
- Decorations, food, beverages, event activities (e.g., photo booths, face painting)
- Event materials (e.g., balloons, sound equipment)
- Transportation needs (e.g., refrigerated trucks)
- Promotional items and advertising tasks.

Events managed may include Turkey Drive, Tree Lighting, Winter Wonderland, MLK Freedom Festival, Cesar Chavez Day, among others.

Period of Performance
The contract will be awarded for a term of three years with an annual budget not exceeding $350,000 per entity.

Place of Performance
The services will be performed within the communities represented by Council District 8 in Los Angeles.
