Description

The City's Enterprise Asset Management (EAM) system provides asset tracking and work orders for critical citywide assets and provides extensive reporting for management and regulatory compliance. The EAM is used by the City's Utilities departments, as well as other City departments, and has been integrated with other critical City systems. The city's EAM system is the International Business Machines, Inc. (IBM) Maximo system, which is managed and hosted within the City of Roseville's data center. The purpose of this solicitation is to identify and onboard a vendor to provide operational support of the City's EAM system.
Background
The City of Roseville is soliciting proposals for operational support of its Enterprise Asset Management (EAM) system, which is critical for asset tracking and work orders across various city departments. The EAM system, based on IBM Maximo, is hosted within the City’s data center and is essential for management and regulatory compliance. The goal of this solicitation is to onboard a vendor capable of providing the necessary support services.

Work Details
The selected vendor will provide operational support for the City’s EAM system, including:

1. Staffing & Availability Requirements:
- Provide a primary support resource with required knowledge and experience; a secondary resource is preferred.
- Resources must be available during core business hours (7:00 AM – 5:00 PM PST) and for after-hours requests.
- Attend weekly Maximo Program Management meetings as requested.

2. Technical Services and Project Support:
- Data cleansing, mapping, transformation, and validation for EAM data migration from legacy systems.
- Ensure data quality and compliance with City policies.
- Development, customization, and configuration of interfaces to meet business requirements.
- Create analytical reports using BIRT and other BI tools.
- Provide technical assistance for data loading, upgrades, migrations to new versions (e.g., from version 7.x to Maximo Application Suite), and implement IBM Fix Packs.

3. Documentation & Training:
- Deliver thorough documentation in editable formats (e.g., Word, Excel).
- Provide training to City IT staff as needed.

Period of Performance
The initial contract will last for one year from the date of award, with the option to renew for two additional years at the City's discretion.

Place of Performance
Services will be performed at various City locations in Roseville, California.

Bidder Requirements
Proposers must be registered to do business in California. They must submit proof of registration with the California Secretary of State along with their proposal. Additionally, proposers are required to adhere to insurance requirements outlined in the sample contract.
