Audio Equipment and Performance Staging

Background
The City of Beverly Hills, through its Community Services Department, is seeking qualified providers to submit proposals for audio equipment and performance staging services for various special events and programs. The goal of this Request for Proposals (RFP) is to establish a professional services contract with a skilled firm capable of delivering effective sound services and performance staging for community events.

The Community Services Department manages a diverse range of annual programs that engage the public through art, culture, and community activities, many of which occur outdoors in the City’s parks.

Work Details
The selected contractor will provide comprehensive audio equipment and performance staging support for City events, including but not limited to:

1. Equipment Provision: Supply professional sound systems suitable for small, medium, and large-scale events; provide all necessary components such as PA systems, subwoofers, mixers, microphones (including wireless), monitors, stands, cabling, and signal processing equipment; deliver specialized equipment upon request; provide necessary staging equipment including platforms, skirting, handrails, ramps, stairs, and canopies.

2. Technical Services: Conduct on-site sound checks and system tuning prior to each event; provide qualified audio technicians for setup and operation; manage live sound mixing; adhere to noise level requirements; troubleshoot technical issues during events.

3. Logistics: Coordinate equipment delivery and setup within City-approved timelines; ensure safe cable management and compliance with ADA requirements; maintain cleanliness during operations.

4. Safety Compliance: Follow safety codes and event permitting requirements; maintain liability insurance as required by the City; ensure all equipment meets safety standards.

Period of Performance
The contract will be awarded for an initial term of one year with two options for renewal for additional one-year terms. The anticipated start date is July 1, 2026.

Place of Performance
Services will be performed at various locations within the City of Beverly Hills during scheduled community events.

Bidder Requirements
Respondents must have a minimum of 3-5 years of experience providing professional audio equipment and performance staging services for public events. They must have access to a full inventory of professional audio equipment suitable for small to large-scale gatherings and trained technicians with expertise in live sound mixing. Respondents must also possess valid business licenses and insurance coverage compliant with City requirements.
