Asset Management and Facilities Services Software Solution

Background
The County of Butte is seeking information from qualified software providers to replace its existing Facilities Management System. The objective is to identify a modern, secure, and cost-effective software solution that meets or exceeds current functionality while improving efficiency, reporting, and integration capabilities.

This Request for Information (RFI) is intended for information gathering and planning purposes only and does not constitute a commitment to enter into a contract.

Work Details
The selected system will be used by County staff for comprehensive asset and facilities management, including:
- Efficient Facilities Services work request system and work order management
- Preventive maintenance scheduling
- Asset tracking
- Vendor and contractor management
- Robust reporting
- Permission controls
- Cost allocation
- Seamless cost tracking and billing
- Data transfer capabilities from current Mainsaver software
- Integration with enterprise systems such as Workday and AssetCalc.

The County prefers a cloud-based or hybrid solution emphasizing user accessibility, cybersecurity, scalability, and compliance with public sector Information Systems (IS) standards.

Responses to this RFI must be received by Butte County General Services no later than 5:00 PM PT on Thursday, September 4, 2025.

Place of Performance
Oroville, California.

Bidder Requirements
Respondents must provide detailed responses demonstrating their system's ability to meet the specified requirements. Information will be accepted from Sales Representatives, Distributors, Manufacturers, and their Authorized Representatives only. Respondents should include company background, years in business, relevant product offerings, technical architecture of the software solution, security measures and protocols, experience with Workday integration, implementation methodology, training processes, post-deployment support options, and high-level cost estimates.
