3CA07136 - Annual HVAC Maintenance Services **Small Business Bidders Only**

Background
The California Department of Forestry and Fire Protection (CAL FIRE) is seeking a contractor to provide Annual HVAC Maintenance Services for its San Diego Unit (SDU) facilities. This includes eighteen fire stations, two Fire Camps, and one Fire Center, all located throughout San Diego County. The goal of this contract is to ensure that HVAC systems operate efficiently and reliably, providing optimal indoor comfort and air quality in compliance with industry standards and applicable regulations.

Work Details
The contractor will provide all necessary materials, labor, equipment, tools, permits, taxes, transportation, and fees for comprehensive annual maintenance services for approximately 165 HVAC units. The services include:

1. Annual Maintenance: Comprehensive inspection, testing, servicing, and cleaning of all HVAC equipment.

2. Quarterly Filter Replacement: Replace or clean all air filters four times a year.

3. Inspection and Testing: Inspect and test all HVAC system components including air handling units, compressors, condensers, fans, ductwork, refrigerant lines, thermostats, and electrical components.

4. Cleaning and Servicing: Clean coils, drain pans, fans, heat exchangers; lubricate moving parts; check refrigerant levels; adjust belts and calibrate thermostats.

5. Reporting: Provide detailed service reports after each maintenance visit including documentation of work performed and any issues identified.

Period of Performance
The contract will commence on May 15, 2025 (or upon approval by the California Department of General Services) and will expire on May 14, 2028.

Place of Performance
Services will be performed at various CAL FIRE facilities located in San Diego County.

Bidder Requirements
Only California Certified Small Businesses are eligible to submit bids. The prime bidder may not subcontract any portion of the work. Bidders must possess a valid C-20 Warm-Air Heating, Ventilating and Air-Conditioning Contractor license issued by the California Contractors State Licensing Board (CSLB). Additionally, bidders must comply with prevailing wage laws if the total bid amount exceeds $1,000.
