Drone Light Show Services for America's 250th Anniversary Celebration

Background
The City of Yuma is issuing this Request for Bid (RFB) to procure Drone Light Show Services for America's 250th Anniversary Celebration. The goal is to provide a professional aerial display that aligns with the celebratory nature of the event, showcasing the City’s identity and patriotism.

Work Details
The contractor will provide all necessary drones, control systems, software, support equipment, and qualified personnel to design, program, and execute a professional drone light show. Key specifications include:

1. A minimum of 250 drones operating in synchronized formation for a duration of 13 to 15 minutes.
2. Equipment must include drones with LED lighting, ground control stations, GPS and communication systems, backup units, technicians for operation and programming, safety personnel, and all necessary accessories.
3. The show will take place at the Ray Kroc Sports Complex in Yuma, AZ.
4. The contractor must obtain all required authorizations and permits for safe operation in compliance with federal, state, and local regulations.
5. Collaboration with City personnel is required to develop the visual theme and soundtrack for the show.
6. The drone formations must be visible from up to two miles away.
7. Equipment setup must occur 24 hours prior to the event with final checks completed four hours before showtime.

Period of Performance
The contract will be performed on the date of the event as specified by the City of Yuma, with setup beginning 24 hours prior.

Place of Performance
The drone light show will be conducted at Ray Kroc Sports Complex located at 1280 W. Desert Sun Dr., Yuma, AZ.

Bidder Requirements
Bidders must have experience in providing similar services and are responsible for ensuring compliance with all regulatory requirements including airspace clearances. The City reserves the right to request revisions on proposed imagery and soundtracks.
