Commencement Video Production RFP

Background
Auburn University is seeking a professional video production company to provide live streaming services and in-house connectivity to in-house videoboard for their upcoming Spring Commencement. The commencement ceremonies will take place from May 3rd through May 6th, 2024, with set up scheduled for May 2nd at Neville Arena. The events will feature speeches, presentations, and the awarding of degrees to graduates.

Work Details
The successful bidder will be required to provide preproduction, production, and postproduction services. This includes producing final graphics and lower thirds, broadcasting nine separate and unique commencement ceremonies from inside Auburn University’s Neville Arena, providing a multi-camera setup, utilizing provided audio feed from a third-party vendor, playing out lower third graphics to final output, providing the ability to playback both a Power Point presentation and exported videos provided by Auburn University, monitoring and adjusting camera angles and shading, providing HDMI to SDI converter and monitor for external RFID feed provided by Auburn University, providing a production unit able to crop this full screen feed down to a keyed signal similar to the size of a lower third, headset communication, crew to work all events, and delivering a digital recording of the event by the morning of May 7, 2024. The successful bidder will not need to provide equipment or crew for staging, lighting, or videoboard operation.

Period of Performance
The commencement video production contract will be performed from February 28, 2024 (10:30 AM CST) until the morning of May 7, 2024.

Place of Performance
The contract will be performed at Neville Arena located at Auburn University in Auburn, Alabama.
