Grant Description
The North American Intergovernmental Committee on Cooperation for Wilderness and Protected Areas Conservation (NAWPA) is a collaborative initiative between leaders of six of the largest North American land and resource management agencies. It fosters the exchange of ideas, experiences, best practices, and innovative solutions on shared conservation opportunities at the North American continental scale and across multiple agencies and jurisdictions.
Award Purpose - The scope of work is wide-ranging and focuses upon the provision of professional secretariat services to an inter-governmental committee. The International Wilderness Leadership Foundation (Recipient) is responsible for facilitation of meetings, communications, and support, as defined below.
Activities to be performed - Supporting the Chair of Steering Committee (SC) in organizing and recording Executive Committee and SC meetings. Supporting the Task Group (TG) leads in organizing and recording Task Group meetings by:
Pre-meeting - Developing discussion topics, gathering information, coordinating schedules, preparing and distributing meeting invitations, agendas, and briefing books.
During meeting - Managing technical support, recording primary discussion points and decisions.
Post-meeting - Drafting report and decision summary, distributing meeting decisions, coordinating requested follow-ups, and filing records.
The anticipated meetings include two for the Executive Committee, six for the Steering Committee, and three to six for the Task Group, as well as additional meetings, workshops as needed and requested by group leaders.
Developing as appropriate and coordinating approval of committee meeting documents, website content, and products. Facilitating communications between members of the committee groups. Liaising with committee agencies for follow-ups on a variety of topics, as needed. Maintaining and updating contact lists of members, maintaining an operational website, and a file sharing solution for committee documents.
Tracking and reporting on recommendations and decisions of the committee groups, outputs and implementation of action items, and expenses related to secretariat and facilitation services. Providing support for contracting services, and preparation of various committee products as needed. Organizing, monitoring, and reporting on agency contracts and agreements.
Expected deliverables or outcomes - Support to the Chair of the SC with scheduling and organizing NAWPA EC and SC meetings, preparing and delivering invitations, agendas, logistics, briefing books, and other requests. Support to the Chair of SC and TG lead with scheduling and organizing meetings, preparing and delivering invitations, agendas, briefing books, logistics, progress reports, products, and requests made by the SC.
Regular communication with and assistance to the Chair of SC in his/her role as liaison between the NAWPA EC Chair and the SC TG(s). Agenda and briefing book material (logistics, progress reports, background information) for NAWPA EC, SC, and TG meetings approved by SC. Report(s), decision summary(ies), press release(s), and other records from NAWPA EC, SC, and TG meetings approved by SC. Up-to-date contact list (roster) of the NAWPA EC, SC, and TG members and partners. Operational and up-to-date NAWPA Committee website. Operational and up-to-date file sharing solution. Annual work plan and budget to be presented at the in-person SC meeting. Annual facilitation report presented to SC, including detailed report on expenses. Agency contract agreement reports, invoices, and other requested follow-ups by SC members. Calendar of events for potential NAWPA EC, SC, and TG participation (with SC representatives).
