ICMA will cooperate with EPA, as the non-federal co-sponsor for the National Brownfields Training Conference, in the development, planning, and delivery of three national conferences to be held between 2023 and 2030. The National Brownfields Training Conference is one of the only national events that collectively serves government, non-profit, and private sector brownfields stakeholders and provides stakeholders the opportunity to share success stories and challenges. The conference also provides a unique opportunity for environmental justice stakeholders to caucus and expand their conversations on community revitalization goals.
There are no other national conference opportunities that achieve this same purpose. National Brownfields Training Conferences will be held on a two year schedule, with conferences planned to occur in 2025, 2027, and 2029.
Activities:
Activities to be performed by ICMA under this cooperative agreement include:
Manage Conference Logistics:
- Securing host city venues and hotel space
- Managing facilities and logistical tasks for convention centers, hotels, and associated facilities
- Design and manage a process for affiliate meetings and other activities
- Produce useful tools and materials for a successful experience for attendees, including the development of conference apps, onsite guidebooks, conference at a glance handouts, signage, and additional information such as informational flyers and desks
- Develop a registration fee and registration process for each conference
Manage Conference Outreach and Communication:
- Grow marketing and outreach database of potential attendees
- Develop visually appealing marketing collateral; design, update, and maintain ongoing conference website
- Continue to update social media channels and outlets with information about the conference
- Develop and maintain effective partnerships such as a local planning committee for each conference, other non-profit and cosponsoring organizations, and EPA programs that reach large audiences
- Develop drop in ads and other advertising collateral for use in trade journals, website, listservs, and other outlets and channels
- Leverage presentations, project partner travel, journals, websites, and newsletters to gain earned media access for articles and other opportunities for sharing information about the conference
- Develop content marketing approaches such as podcasts and videos to attract audiences to the conference
Organize the Conference Educational Program:
- Work with EPA to identify a conference theme
- Organize and implement a call for presentations process
- Establish conference topics and tracks; leverage EPA, local planning team, ICMA staff, and others to review and finalize sessions for educational program
- Organize sessions into appropriate formats, timeslots, and days
- Develop and finalize offsite mobile workshops and walking tours
- Develop pre- and/or post-conference workshops and trainings
- Develop additional programming such as poster galleries, film series, charrettes, and other activities in collaboration with EPA and each conference's local planning team
Plan Plenary Sessions:
- Work with EPA to design and implement various plenary and general session keynote events for each conference
- Invite and confirm speakers for each event; and develop run of show scrips and rehearsal sessions prior to each keynote event
Manage Stakeholder Engagement:
- Organize volunteers from host communities and national stakeholders to serve as the local planning committee for each conference
- Manage a national travel scholarship program for local governments, tribal representatives, and community organizations to attend the conference
Manage Conference Evaluation:
- Develop and implement an appropriate conference evaluation strategy and process
- Compile final evaluation report on each conference
