Conference space, Lodging, & Catered Meals

The Ohio National Guard has a requirement for Venue & catered meals on the following date:

6 December 2024

The event will take place:

Dayton - Middletown area, Ohio

Quotes must comply with the requirements set forth in the attached Performance Work Statement (PWS).

Quotes must include sufficient information (i.e., menus, licenses and certifications) that allow the OHARNG to determine whether they meet the necessary minimum requirements. Failure to submit sufficient product information may result in the rejection of your quote.

This is a Total Small Business Set-Aside. The North American Industry Classification System (NAICS) code for this work is 722320. The small business size standard is $9,000,000.00.

This award will be a Firm Fixed Price Contract. It will be awarded on the basis of the lowest price that meets the requirements set forth in the PWS.

All responsible sources may submit a quote which shall be considered by the agency (FAR 5.207(c)(i)).

Proposals are due by 4:00pm (EST) 19 November 2024. You may submit your quotes to the Contract Specialist by email at rachel.a.oglesbee.civ@army.mil Faxed proposals will not be accepted.

Respondents to this Request for Quote (RFQ) must be registered in SAM. You may register electronically at http://www.sam.gov. Registering electronically will expedite the registration process.

Please ensure that your proposals include sam.gov cage code and accurate POC information.

Please see attached PWS, Instructions to Offerors, and solicitation for detailed information. All offerors are required to fill in Technical Acceptability worksheet and return a copy with their quotes. Questions are due no later than 12:00pm (EST) 14 November 2024.

Background
The Ohio National Guard (OHARNG) is seeking to procure venue and catering services for the Yellow Ribbon & Reintegration Program scheduled for December 6, 2024. This event will support members of the Ohio Army National Guard in the Dayton - Middletown area, providing them with essential benefit information.

The contract aims to ensure that all logistical needs for the event are met efficiently and effectively.

Work Details
The contractor shall provide all personnel, equipment, tools, materials, supervision, and quality control necessary to perform venue and catering services as outlined in the Performance Work Statement (PWS). Specific requirements include:

1. Venue Services:
- Conference space capable of accommodating 175 attendees with A/V support, water and coffee services, breakout rooms, and counseling rooms.
- Free parking for approximately 150 vehicles.
- Registration tables with linens and chairs set up by 0700 on the event day.
- Access to small counseling rooms from 0800-1800.

2. Catering Services:
- A hot buffet lunch for approximately 130 adults from 1200-1300.
- Menu must include a salad, main entrée options, side items, bread/rolls, dessert, and beverages while avoiding common allergens.
- Catering prices must comply with Federal Government per diem rates. The final menu requires approval from the Yellow Ribbon Coordinator prior to the event.

Period of Performance
The period of performance for this contract is set for December 6, 2024. Lodging services will be required from December 5 to December 6, 2024.

The services will be performed in the Dayton - Middletown area of Ohio.
