Description

Naval Supply Logistics Command (NAVSUP) Fleet Logisitics Center (FLC) Norfolk Contracting Department, Norfolk, VA 23511-3392, intends to award a firm fixed price, 100% Small Business Set-Aside contract for hotel conference room support. The NAICS code applicable to this to procurement is 721110. Background
The Naval Supply Logistics Command (NAVSUP) Fleet Logistics Center (FLC) Norfolk is issuing a contract for the Legalman Development Symposium 2025 (LDS 2025). This event aims to provide an in-person training experience that aligns the Legalman Community with the mission and values of the Judge Advocate General (JAG) Corps, emphasizing their role in delivering essential legal support to the Navy's overall mission. The contract is intended to secure a conference facility in Norfolk, VA, to support this event.

Work Details
The contractor will provide hotel conference room support for the Legalman Development Symposium 2025, which includes:
1. A conference venue and hotel located in Norfolk, Virginia.
2. Meeting spaces and breakout rooms with audio/visual support.
3. Reservation of a block of hotel rooms for attendees, with a minimum of 110 rooms and not exceeding 150 rooms, across specified dates from May 18 to May 23, 2025.
4. Hotel room rates must not exceed the per diem rate of $110 per night.
5. Allowance for early check-in for international travelers on May 18, 2025.
6. Provision of a roster of all conference participants who have reserved hotel rooms by March 15 and April 15, 2025.
7. Automatic release of unreserved rooms by May 12, 2025, at no charge.
8. Cancellation policy allowing participants to cancel reservations without charge through May 18, 2025.
9. Provision of parking spaces for attendees (75 desired; minimum of 50 accepted).
10. An introductory meeting on May 16, 2025, for audio/visual equipment testing with key personnel present.
11. A low-cost or complimentary airport shuttle service between Norfolk International Airport and the hotel from May 18-23, 2025.
12. Accessibility to local amenities within walking distance or via shuttle service within a three-mile radius.
13. Provision of one main conference room accommodating up to 150 people and four additional breakout rooms accommodating up to 60 people each.
